

| SAWTA Captain’s Meeting – December 16, 2009 I. Secretary Pat Wallace - Reading and Approval of the minutes: The minutes from the last Captain’s meeting in August 2009 were posted on the website. No changes or corrections were necessary so the August 2009 minutes stand approved. II. Officer Reports A. Treasurer Sheila Arthur: Cash Balance with SATA as of Nov. 18, 2009 is $15,984. B. 1st VP Marianne Ryan: Ball pick up has been changed to Friday, January 8th from 10 a.m. – 1 p.m. at McFarland. The back gate will be opened and captains should be prepared to pick them up by the office. C. Parliamentarian Renee Wash: 1. The Captain’s packet will be available after this meeting at sawta.com. You can also find a copy of the most recent rule book online at netknacks.com for $2.75. Schedulers will communicate with their captains by emailing them important links to rule books. 2. The Margaret Canby Sportsmanship Award procedure – There is a pertinent resolution posted on our website and included in these minutes. It states: “In honor of Margaret Canby’s outstanding commitment and countless hours contributed to the United States Tennis Association and San Antonio Area USTA Leagues, the San Antonio Women’s Tennis Association (SAWTA) will present an annual good sportsmanship award in her name. The Margaret Canby Award will be presented to a member of SAWTA who has displayed excellent sportsmanship qualities on and off the tennis court. Nominees will be made and voted on by SAWTA members via the SAWTA website. Announcement of the winner and presentation of the award will be made at the SAWTA general meeting held in the Spring.” Nominations can be made by following the link on the website. Only Monday players may be nominated for this award but anyone can make a nomination. Nominations will close prior to the general meeting at which time nominees will be posted and SAWTA members will be able to vote via the website. Each member is entitled to one vote. The winner of the award will be announced at the general meeting. D. Head Scheduler Jen Bunch: 1. Captains will meet in separate groups to vote for Spring dates. 2. Inclement weather cancellation policy: please remember our rain delay policies and don’t cancel a match before 8 a.m. unless you’re scheduled to play out at T Bar M, Cordillera or Newks. According to the Standing Rules, the latest you should begin play for a scheduled 9:30 match is 10 a.m. Review of the line-up exchange process: Assuming there are no delays, exchange line-ups by 9:25, warm up with your opponent by 9:30, start play no later than 9:45. There is a 15-minute default rule, which means if a player doesn’t show by 9:45 a.m. their captain must default a line from the bottom up in either doubles or singles. *There was much discussion over when captains should exchange line-ups when players are running late. Should captains exchange line-ups at 9:25 as instructed or later after all players are present on the tennis court? The board will research the rules and get back to the captains with an answer. 3. Scheduling will be done the week of January 4th, 2010. 4. Captains can refer to sawta.com to find the results of the vote for spring league play dates. III. League Coordinator Debbie Lowry: 1. The most recent change in the new 2010 rule book states that 18 year olds can play league tennis. 2. The NTRP rating system was in need of adjustments to keep the rating system fair. This year a larger number of players were moved up in a national push to get in line with the rating system. 3. Debbie is working on forming one citywide grievance committee that will represent all the San Antonio leagues. 4. Debbie is also working towards creating one standard league fee across San Antonio to simplify the accounting process. Leagues will have to come to an agreement over a standard fee. 5. On-line Primary Team Declaration forms must be submitted by March 1, 2010. Forms can be found online at the SATA website. You can find a link to the SATA website at sawta.com. Captains are responsible for distributing this information and the individual player is responsible for completing the form. IV. New Business 1. Proposed dates for spring league play is 1/18 – 5/24/10 2. There are proposed changes to the standing rules. (See attached notes). Cherie Kassinger made a motion to accept the proposed changes to the standing rules and Elissa Sherlock seconded the motion. Vote: There was a general vote to accept the changes to the standing rules. Fifty-six were for the change and three opposed it. The motion passed. 3. The nominating committee is still in the process of finding representatives and Becky Wortham is the Chair for this committee. (Becky was not present to give an update.) 4. Sheila Arthur presented an opportunity to sponsor the Davis Cup and Fed Cup Tournaments and bring them to San Antonio. The sponsorships are paid only if San Antonio is awarded the opportunity to host the tournaments. Our board has agreed to participate and become a sponsor. If anyone else is interested in sponsorship, please contact Sheila Arthur for more information. 5. Kathy Horan communicated information about the SATA website. Players can register their email address at the SATA website and fill out a Primary Team Declaration form as well. Please remember to print out the return email and keep a copy of your form for your records. Current wording from SAWTA Standing Rules: D. Players 1. Each individual must have an NTRP rating in accordance with the USTA dynamic NTRP rating system. 2. All players must play two (2) matches prior to local level playoffs (championship round robin) to be eligible for sectionals. 3. Regulation Covering Players Who Register for Multiple Teams in Different Leagues and /or Different Levels During the Same League Season a) Captains must submit captains' commitment forms signed and dated by each player on their team whether or not they are playing in two different leagues and/ or two different levels of the same league to their respective league representative. These forms must be postmarked no later than midnight October 1st for the Fall League, and no later than midnight March 1st for the Spring League. b) Adding new players who will be playing on more than one team after Oct. 1st and March 1st will require these players to send a signed and dated commitment form to their league representative and team captains before the player plays the 1st match for any additional teams for which they are registered. c) It is the Captain’s responsibility to see that their players understand and comply with this regulation. d) Players not registering with a signed and dated commitment form, under the guidelines listed above who are playing on teams that reach the San Antonio area playoffs will be ineligible to play for either team. e) Should any League decide not to play to advance, i.e. SAWTA chooses not to play the Fall League to advance to the USPTA, commitment forms will not be required by SAWTA. Proposed changes: D. Players 1. Each individual must have an NTRP rating in accordance with the USTA dynamic NTRP rating system. 2. All players must play two matches prior to local level playoffs in order to advance to any playoffs or championship rounds. One of these two matches may be a default. 3. Rule covering players who register for multiple teams in different leagues and /or different levels during the same league season: a) Players who play in two different leagues and/or play on different levels within the same league are required to complete the online Primary Team Declaration form, available at www.satennis.com. The form must be submitted no later than midnight October 1st for the fall season or midnight, March 1st for the spring season. Exception: If SAWSTT is the only ladies league competing for participation in the USPTA tournament, a Primary Team Declaration form will not be required for the fall season. b) Players who are added to a team’s roster after October 1 or March 1 will be required to complete the Primary Team Declaration form prior to playing their first match with additional teams. c) It is the Captain’s responsibility to see that their players understand and comply with this rule. d) If a player plays on multiple teams that reach the San Antonio Area USTA League City playoffs, and has not completed the Primary Team Declaration form as specified by the guidelines above, that player will be considered committed to the team for which they played their first match of the league season. |
